General questions about hiring leisure vehicles

How does a tenancy agreement come about?

A rental contract is only and exclusively concluded when the landlord confirms a booking in writing by e‐mail or in text form. Your contractual partner is the respective rental station where you accept the motorhome/caravan.

In the case of online payment, a legally binding rental contract is concluded when the deposit is paid. You will then receive a written booking confirmation.

There is also the option of a digital signature. In this case, the rental agreement does not have to be printed out, but can be conveniently signed digitally by you (e.g. on a tablet with your finger) and sent directly to the landlord. The landlord then sends the countersigned document back to you.

Where can I find the exact rental conditions?

You can find the detailed rental conditions (GTC) here and at the rental stations.

What does the vehicle handover or return look like?

You will receive the rented vehicle cleaned and in the condition specified in the contract. The condition of the vehicle is documented on handover and return in a handover report, which is signed by both you and the hire company.

You will find the business hours for handover and return in your hire contract. As a rule, they are from Monday to Friday during the landlord’s normal business hours. On Saturdays, handovers and returns only take place by prior arrangement and for an additional fee of €29. Unfortunately, it is not possible to hand over or take back the vehicle on Sundays and public holidays.

Please hand over the vehicle perfectly clean inside. If the vehicle is returned insufficiently cleaned, additional costs may be incurred for cleaning: The cost of cleaning the interior is €150. There will then be a charge of €160 for cleaning the toilets.

In what condition should the vehicle be handed over?

Please hand over the vehicle with a full tank of petrol and a perfectly clean interior. Failure to do so may result in additional costs for refuelling and cleaning. The cost of cleaning the interior is 150 euros. The cost for cleaning the toilets is 160 euros.

Where can I stay overnight with a motorhome, camper or caravan?

Wild camping is not permitted in most European countries. We therefore recommend that you go to a campsite, a caravan site or a car park approved for caravans. Please find out about the exact legal regulations in your destination country before travelling.

How are the rental vehicles equipped via RENT AND TRAVEL?

The basic equipment of our hire vehicles includes:

  • Kitchen with fridge, gas hob and sink 
  • Beds with slatted frame and comfort mattresses 
  • Sanitary area with toilet, washbasin and shower 
  • Fresh water and waste water tank 
  • Gas heating 
  • Connection cable for the power supply 
  • Bicycle rack or rear garage (depending on type) 
  • Sun awning 
  • Gas bottle(s)

Is the kitchen fully equipped?

For reasons of hygiene, our vehicles do not come with kitchen equipment. However, if desired, this can be booked as a purchase kit. In this case, the kitchen equipment is already in the motorhome/caravan when you take over the vehicle and is then also yours. You can therefore also use the equipment for future holidays.

What accessories do I need to bring for my trip?

Equipment such as crockery, bed linen, food, cleaning products, camping furniture etc. are not included in the rental price and must be brought by you. A selection of accessories is available at many hire stations and can be booked additionally.

Are pets allowed in the vehicle?

The landlord decides whether a pet is allowed to travel with you. Talk to them beforehand or tick the box next to „Pets allowed‟ when booking online. You will then receive a list of all vehicles that are suitable for you. Pets are charged €7.50 per night.

Is smoking allowed in the motorhome/caravan?

All vehicles are non‐smoking vehicles. Smoking is strictly prohibited in the motorhome and caravan.

Where can I get a water supply or dispose of waste water?

Most campsites in Europe have supply and disposal stations where water can be refuelled and drained. Other disposal stations may also be found at service stations or large petrol stations. Please find out about the options on site before travelling.

What do I need for the water supply?

For hygiene reasons, please note that we cannot provide you with a watering can, hoses or other utensils for managing the water supply.

Are the beds equipped with fall-out protection?

Vehicles with a fold‐down bed, bed in the pop‐up roof or bunk beds are always equipped with fall‐out protection.

Questions about financing & insurance

How much does it cost to hire a motorhome through RENT AND TRAVEL?

First and foremost, it depends on which vehicle you wish to hire. All prices are based on the valid price list, which will be presented to you by the hire company when you sign the contract. The rental price is then made up of the basic rental price and a service charge. Third party and fully comprehensive insurance (1,500 euros excess per claim) and VAT are already included in the price.

Fuel costs, tolls, parking, camping, parking space and ferry fees, fines and other penalties are the responsibility of the renter. 

The hire company will charge you the hire price per night. One‐way rentals or returns to another station are unfortunately not possible.

What is a service fee?

The service fee of 150 euros is charged once per rental. This flat rate includes the costs for the handover of the vehicle, a detailed briefing on the handling of the motorhome and its return. It also covers the cost of a propane gas refill (one bottle),  the basic toilet chemical kit, the cover letter and the exterior cleaning of the motorhome.

What are the terms of payment?

The tenant must pay the landlord a deposit of 20% of the rental price to the account specified in the booking within 7 days of the date of the booking confirmation. Once the booking has been finalised and the deposit has been paid on time, the remaining rental price must be transferred to the landlord’s account no later than 14 days before the start of the rental period.

In addition to bank transfer, many of our centres also offer online payment. Payment can be made by credit card, ApplePay, GooglePay, Giropay and Sofortüberweisung.

What about a reduction in the deductible?

Our holiday cover package allows you to reduce the excess in the event of a claim. Our partner here is MMV. Information and booking can be found here.

Is there a kilometre limit?

From a rental period of 15 nights, the number of kilometres is unlimited. For a rental period of less than 15 nights, 300 kilometres per night are included; each additional kilometre is charged at 0.39 euros.

Is there a minimum rental period?

The minimum rental period is 6 nights, in the summer holidays sometimes 13 nights depending on the station. Shorter rental periods are possible as part of our last minute and flexi deals.

Is cancellation possible?

The landlord grants the tenant the right to cancel his booking under the conditions described below: The date of written receipt of the cancellation notice by the landlord is decisive for calculating the amount of the cancellation fee to be paid by the tenant.

  • Cancellation up to 61 days before the start of the rental period against payment of 20% of the rental price (cancellation fee),  but at least 200,– Euro to the landlord.
  • Cancellation 60 to 30 days before the start of the rental period against payment of 40% of the rental price (cancellation fee) to the landlord.
  • Cancellation 29 to 15 days before the start of the rental period against payment of 80% of the rental price (cancellation fee) to the landlord.
  • less than 15 days before the start of the rental period against payment of 90% of the rental price (cancellation fee) to the landlord.

Cancellation is only effective if the Hirer declares this to the Rental Firm in text or written form. The Rental Firm shall offset the income from renting the motorhome to another party during the agreed rental period as well as the expenses saved. The Hirer is at liberty to prove that the Rental Firm has only incurred a lower loss or no loss at all. The contractual right to cancellation does not apply if the Hirer has booked a special offer, in particular so‐called taster tours.

What should I do in the event of a breakdown/damage to the vehicle?

You will receive all important telephone numbers from the rental station during vehicle handover in the event of an accident or breakdown. 

The rental station must always be contacted first and will assist you in this situation. They will tell you how to proceed. In the event of an accident, it is important that you take photos, contact the local police and fill out an accident report so that you have proof for the insurance company.

Questions about travelling with a motorhome

Who is allowed to drive a motorhome? Is there a minimum age? Which driving licence is required?

To be allowed to drive a vehicle with a gross vehicle weight of up to 3.5 t, you as the driver or hirer must be at least 21 years old and have held a valid category B driving licence for at least one year. For vehicles over 3.5 t, the minimum age is 25 years and you must have held a valid category C1 driving licence for at least 3 years.

The vehicle may be driven by you as the renter and by the persons named when renting. Please do not forget to present your driving licence and the documents of all other drivers at the time of rental.

Can I register additional drivers?

Additional drivers are free of charge with RENT AND TRAVEL. You can add additional drivers free of charge during online check‐in or on the day of handover of the motorhome. Please note that the renter assumes liability for the additional drivers.

How are the rental motorhomes from RENT AND TRAVEL motorised?

Our motorhomes are equipped with powerful and fuel‐efficient turbo diesel engines. Diesel consumption depends on the vehicle category, load and driving style and is generally between 9 and 16 litres per 100 km.

Do the rental motorhomes have a green fine dust sticker?

RENT AND TRAVEL motorhomes have modern exhaust gas treatment systems and are fitted with a green fine particle sticker behind the windscreen.

Which countries am I allowed to travel to?

International journeys within Europe are permitted with the exception of the following countries or regions: Bulgaria, Romania, Moldova, Belarus, Russia, Ukraine, Turkey and Iceland. Journeys to war and crisis zones are generally not permitted.

Am I insured with a motorhome rented from RENT AND TRAVEL?

Yes, the hire price already includes a comprehensive insurance package. It consists of third‐party liability insurance and fully comprehensive insurance. The excess is 1,500 euros per claim.

You can take out a favourable insurance package with further additional insurance for your motorhome rental (reduction of excess, trip cancellation, etc.) here.

Is a deposit required when booking a motorhome?

Yes, a deposit of 1,500 euros is payable at the time of booking. You must pay the deposit to the hire company when you collect the motorhome. It is best to contact the hire company in advance to find out whether you can pay in cash, by bank transfer, EC card or credit card.

What do I need to bear in mind when booking a ferry? What do I do if I don't know my licence plate number yet?

The dimensions of the motorhome are important for booking the ferry and the correct vehicle category. Please contact your rental station for this information and the licence plate number.

If you do not yet know the licence plate number of the motorhome, enter „TBA‟ (to be advised) as a placeholder under „Licence plate number‟.  You can complete this information later as soon as you know the licence plate number. The same applies to the vehicle type.

What diesel consumption should I expect during my journey?

Diesel consumption depends on the vehicle category, load and driving style and is generally between 9 and 16 litres/100 km. Like refuelling and topping up the wiper fluid, topping up AdBlue is part of the vehicle’s operating fluids.

Questions about travelling with a caravan

Which trailers am I allowed to tow?

Driving licence B

  • Motor vehicles up to 3.5 tonnes and with max. 9 seats (including driver)
  • Trailers up to and over 0.75 tonnes, if the sum of the maximum authorised mass of the towing vehicle and trailer does not exceed 3.5 tonnes

Driving licence B 96

  • Motor vehicles up to 3.5 tonnes and with max. 9 seats (including driver)
  • Trailers weighing more than 0.75 tonnes, even if the total mass of the trailer and car is greater than 3.5 tonnes but does not exceed 4.25 tonnes

Driving licence BE

  • Motor vehicles up to 3.5 tonnes and max. 9 seats (including driver)
  • Trailers with a maximum permissible total weight of 3.5 tonnes

Who is allowed to drive? Is there a minimum age? Which driving licence is required?

The driver must be at least 21 years of age and in possession of a valid driving licence for the respective vehicle category (category 3, category B96 and/or BE for cars with trailers). The vehicle may be driven by you as the renter and by the persons named when renting. Please do not forget to present your driving licence and the documents of all other drivers at the time of rental.

What is the unladen weight of the caravan?

The unladen weight (empty mass) of the trailer is the weight of the caravan ex works, including filled water and toilet tank, filled gas cylinder and any additional equipment already installed. The vehicle is therefore ready to drive, but has not yet been loaded. You will find the unladen weight of the caravan in the vehicle registration document under the number G.

What does "permissible total weight" of the caravan mean?

The gross vehicle weight rating (GVW) is the weight of the caravan including the payload, i. e. all objects that you load yourself. This includes camping equipment, furniture, crockery, etc., but also objects that you attach to the outside of the vehicle, e. g. bicycles. You will find the permissible total weight in the vehicle registration document under item F.1

How do I determine the permissible total weight of the trailer?

The permissible gross combination weight is the maximum permitted weight that the caravan and towing vehicle may have together. You therefore add the maximum permissible total weight of the car and the maximum permissible total weight of the caravan.

What is the drawbar load of the towing vehicle?

The drawbar load is the weight with which a trailer, when coupled, bears on the trailer coupling of the towing vehicle. For most cars, the maximum permissible drawbar load is between 50 and 100 kilograms. This can be found in the vehicle licence under item 13 and must not be exceeded. If the drawbar load is too high, it can happen that the weight of the trailer pushes the rear of the towing vehicle downwards and the front wheels of the car no longer grip properly.

However, the drawbar load must not be less than 4% of the actual trailer weight or 25 kilograms. If the drawbar load is too low, the opposite can happen: The rear of the trailer can drop down and possibly touch the road. In practice, you should utilise the maximum permissible drawbar load as fully as possible in order to achieve a stable and safe driving style for the trailer combination.

What is the axle load of a caravan?

Another important point is the axle load. The permissible axle load of the caravan indicates how much weight may be placed on the individual axles of the caravan. 
If the axle load is too high, the axles and wheels of the trailer will be overloaded - in the worst case, there is a risk of axle breakage. In addition, too high an axle load can leave marks on the road.

Information on the permitted axle load can be found in the vehicle registration document under item 8. The actual axle load can be determined as follows: Empty weight of the caravan + payload – drawbar load / number of axles Add the empty weight and payload of the vehicle and subtract the drawbar load from this. Then divide this value by the number of axles on the caravan. This gives you the actual weight on each individual axle.

What do I do in the event of an accident? How am I and the caravan insured?

The basic hire price already includes third‐party liability and fully comprehensive insurance ( € 1,500 excess per claim).  The insurance is valid throughout Europe, with the exception of the following countries and regions: Bulgaria, Romania, Moldova, Belarus, Russia, Ukraine, Turkey and Iceland. Travelling to war and crisis zones is generally not permitted.
